No. There's no fee to apply, no fee to run a photo day, and no cost if some families choose not to order.

No. Each photo day is its own agreement. If it works for your studio, we'd love to do it again next season.

Though we prefer to work with studios over 100 students, depending on location, we work with studios of all sizes. The consultation call is where we figure out what makes sense for your dancer count and calendar.

Most studios are fully photographed in one day. Larger studios may need two, but we will configure your day(s) around the calendar as needed. 

Our main business model at Vacanva is fundraising, and we have gotten VERY good at it. You will be given a suite of promotional materials to run a marketing campaign selling custom family/senior sessions as a fundraiser. Sessions can be sold to anyone nationwide and donors have a year to use their session. In our experience, dance groups do VERY well with this program. 

We do our best to keep our pricing accessible for your families, so our base pricing menu does not leave room for a revenue share, however, if you prefer, we have a secondary price menu that allows for a 10% gross sales payout to your studio. This raises pricing to your families 15% as our platform costs also rise. 

We only allow jumping if we are conducting your picture day inside your studio on a sprung floor. This ensures that your safety waivers are in place and the conditions are most appropriate to keep your dancers safe.

Here is what we need from you: 

1. Your parent email list at least 6 weeks prior to your scheduled day for preparation and advanced orders. We will not market to this list aside from notifications about this photo day, however once a parent places an order, they also become our client, and the email on the order does go into our general marketing list. 
2. Costume communications. We do not know who is in which dance, and what costumes should be on which child. This will play into how we organize time slots, so we will need to be closely in contact with you regarding costumes. We will also need you to be clear with all families about your expectations for hair and makeup. We are happy to provide a hair and makeup guide in our prep emails if you would prefer. 
3. Crowd management outside the photo room. Please note that parents are NOT permitted to join a session in progress. There will always be more than one adult in the room, but parents and other dancers are not permitted to be in the room for posing and commentary. We appreciate your assistance as this helps keep us on schedule and keep things fair.
